Standing Payable Selection/Deselection - Purpose

AP380E

The Standing Payable Selection/Deselection program (AP380E) allows the user to select and deselect standing payables for open item generation.  Header, detail, and comment information for selected standing payables is stored on the tentative open item header (APTOIP), tentative open item detail (APTVDP), and tentative open item comment (APTCCP) files.  When the Batch Open Item Creation program (AP180E) is run, records on these tentative files are moved to the corresponding open item files.

AP380E acts in one of two modes:

·     Selection.  This mode is used when the program was called from AP380C1, through the Standing Payables Selection menu option.

-     Selection screen (AP380S01) is displayed, allowing user to enter criteria.

-     Select screen is validated and detail screen (AP380S02) is displayed with header information for all standing payables (from APSPHP, APSPHL1, or APSPHL2) that match the criteria.

-     User types an X next to each payable to be selected.

-     External document number is validated or assigned.  For each selected payable, header, detail (distribution), and comment lines are copied from the standing payables files to the corresponding tentative open item files.

·     Deselection.  This mode is used when the program was called from AP380C2, through the Standing Payables Deselection menu option.

-     Selection screen (AP380S03) is displayed, allowing user to enter criteria.

-     Select screen is validated and detail screen (AP380S02) is displayed with all header information for all records in the Tentative Open Item Header file (APTOIL3 or APTOIL4) that have a non-blank standing payable number and that match the user-specified criteria.

-     User types an X next to each payable to be deselected.

-     Header, detail, and comment lines are deleted from the tentative open item header, detail, and comment files.
