Order Shipment Creation

 

Upon completion of sales order maintenance, the system combines sales order lines onto order shipments.  An order shipment is a group of sales order lines that have the same sourcing warehouse, promised ship date, carrier, route, ship via, and load number if it is assigned in the Sales Order Maintenance conversation and are within the ship via's volume and weight capacities.  The following example, which includes ship via definitions and a sales order, illustrates how order shipments are created:

Each line on Sales Order 001, except lines 006 and 007, results in a different order shipment:

·     Line 002 has a different carrier.

·     Line 003 has a different promise ship date.

·     Line 004 results in one order shipment that exceeds the capacity of ship via 48FT.  (A warning message is displayed in Sales Order Maintenance to highlight the situation.)

·     Line 005 has a different ship via.

Lines 006 and 007 form one order shipment because they are shipped from the same warehouse, on the same date, by the same carrier and ship via, on the same route.  These lines also meet the capacity restrictions specified by the 48FT ship via.

When sales order lines are assigned to an order shipment, they become shipment picker lines for that shipment.  One sales order line corresponds to one shipment picker line.  In the example above, lines 006 and 007 would become shipment picker lines 006 and 007 on the shipment to which they are assigned.

Order Shipment Status

Once order shipments are created, the status of each shipment controls processing and indicates the next step for a shipment in the shipping processing sequence.  The following lists each order shipment status and indicates how processing is affected:

O

Open

The order shipment is currently being assembled.  The shipment is not ready to be picked and cannot be released to the warehouse.  A picker document has not yet been printed for the shipment.

R

Ready for release

This order shipment has been printed on a picking document.  The shipment has at least one of its corresponding sales order lines with a status set to Release (R), which means that inventory has been reserved and is awaiting picking.

C

Confirmed

The order shipment has been completely picked, and the bill of lading has been printed or inventory exceptions have been entered to confirm the results of the picking process.  With a status of C, the shipment can be closed, but cannot be changed.

X

Partially shipped

The order shipment has been confirmed but not billed, which prevents maintenance of any sales order line or shipment picker line.  (Note that shipping confirmation does not update inventory.)

S

Shipped

The order shipment has been shipped and billed.  (Inventory has been updated.)

K

Canceled

This order shipment has had its corresponding sales order closed (canceled) through Sales Order Maintenance or the sales order line was assigned to a new shipment because of changes in the shipping data.

 

Changing information on sales order lines is contingent upon the status of their corresponding order shipments.  If the status of a shipment picker line is C, X, or S, the corresponding sales order line is not eligible for change.  The warehouse, quantity, and promised ship date on the sales order line can be changed if the status of the shipment picker line is O or R.
