Processing Business Process Manager Events
The Event Manager conversation displays the contents of your Business Process Manager (BPM) mailbox. This conversation allows you to view summary and detailed information about the occurrences of BPM events, act on the event messages in your mailbox using user-defined action codes, add or maintain comments about the specific occurrence of an event, and to forward the event information and comments to another BPM mailbox.
When information about the occurrence of a BPM event is routed to your mailbox, a red box labeled New Events will display in the upper right corner of the screen when you access any application menu. When you are notified of new events, you can access the Event Manager conversation through the BPM menu or by pressing F21 on the application menu screen.
Note: The red New Events notification box does not display on the application menus if you have marked the event occurrences in your mailbox as in-process using the In-Process flag on the Event Manager Detail screen.
Viewing Summary Event Information. The Event Manager Recap screen displays summary information about the event occurrence records in your BPM mailbox. The information provided includes the types of events that have occurred, the number of occurrences of each type of event, and the average control value for each type of event. After reviewing this summary information you can act on selected types of events using the automatic action defined for the event type or view detailed information about the event occurrences.

Event Manager Recap Screen.
The Event Manager Recap screen displays the event occurrence records in your BPM mailbox.
Managing Events Using the Automatic Action. Each type of event can have an associated automatic action, which is defined in the Event Maintenance conversation. The Event Manager Recap screen allows you to select one or more types of events in your mailbox and process them using the automatic action for that event type.
For example, the automatic action for event type PO1, overdue purchase order lines, may be the Purchase Order Maintenance conversation. If the Event Manager Recap screen indicates that you have 7 messages for occurrences of event PO1, you can select that event type and press the Auto Action key (F18) for the automatic action. When you do so, the Purchase Order Maintenance Function Select screen will be displayed for the first occurrence of the event. The purchase order number and other information (the key information defined in the extract program or query) will be defaulted. You can then enter any other required information on the Function Select screen (such as the maintenance code), and process the Purchase Order Maintenance conversation as you normally would.
When you complete the transaction, the Purchase Order Maintenance Function Select screen will be displayed with the information for the next occurrence of the event. This process will continue until you have accessed the Purchase Order Maintenance conversation for all seven of the occurrences of the event in your mailbox.
Depending on the nature of the event type and the extraction frequency, the number of occurrences of an event that appear in a BPM mailbox could be large. To prevent users from having to step through several consecutive event occurrences, Reference File category N05 allows you to specify a limit on the number of occurrences that can be processed consecutively using the automatic action. When this limit is reached, the user will be returned to the Event Maintenance Recap screen and a window will display asking if the user wants to continue processing events using the automatic action.
For example, assume the Automatic Action Control is set to 3 on Reference File category N05 and you have 45 messages in their BPM mailbox for overdue purchase order lines (PO1), which has an automatic action of Purchase Order Maintenance. If you select event type PO1 on the Event Manager Recap screen and press the Auto Action key (F18) for the automatic action, you will step through the Purchase Order Maintenance conversation for the first three event occurrence records. After processing the third, the Event Manager Recap screen will display and a message will appear asking if you want to continue. If you enter N (no), you will remain at the Event Manager Recap screen and can continue processing from there. If you enter Y (yes), you will step through the Purchase Order Maintenance conversation for the next three event occurrence records, and then be prompted again.
If the Immediate Delete flag on the Event Maintenance Detail screen is set to Y for the event type, then each event occurrence record will be deleted from your mailbox after you process it using the automatic action. The event occurrence record will remain in your mailbox if the Immediate Delete flag is set to N and must be deleted manually.
Viewing Detailed Event Information. From the Event Manager Recap screen, you can also choose to view detailed information about each occurrence of a type of event before acting upon them. Select an event type and press the Detail key (F7) to view the Event Manager Detail screen for the selected event type. This screen displays all the event occurrence messages that have been routed to your BPM mailbox and that are of the selected event type.
The information provided on the Detail screen includes the date and time the event information was extracted, the detail information about the occurrence of the event, and the control value. The detail information and control value displayed is specific to each type of event. The type of information to be displayed and the headings for the detail information and control value are defined on the Event Maintenance Detail screen.

The Event Manager Detail screen displays detail and control value information for the BPM event occurrence records for a specific type of event. The type of detail and control value information that displays is user-defined for each event type.

Managing Events Using Action Codes. After viewing the detail information for the event occurrences, you may want to act upon one or more of them. You can do this by entering an action code for the selected event occurrence record. Each action code corresponds to a MAC-PAC conversation. When you enter an action code, you will be taken into the associated conversation for the selected event occurrence.
For example, if you are reviewing the records in your mailbox for overdue purchase order lines, you may decide to maintain the purchase order line. You can do this by entering the action code for the Purchase Order Maintenance conversation in the Action Code field for the selected event occurrence record and pressing Enter. When you do so, the Purchase Order Maintenance Function Select screen will be displayed. The purchase order number and other information (the key information defined in the extract program or query) for the event occurrence you selected will be defaulted. You can then enter any other required information on the Function Select screen (such as the maintenance code), and process the Purchase Order Maintenance conversation as you normally would.
When you complete the transaction, you will be returned to the Event Manager Detail screen.
In-Process Flag. You can use the In-Process Flag on the Event Manager Detail screen to indicate those event occurrences for which you have already taken action or are currently under review. Set this flag to Y (yes) to indicate that you are currently investigating the issue or have begun to resolve it. Setting this field to Y also prevents the event occurrence and comment records from being deleted and replaced the next time event information is extracted.
The New Event notification will display on the application menu screens if there are messages in your BPM mailbox and the In-Process Flag is set to N (no) for at least one of them. Setting this field to Y (yes) for the records you’ve reviewed or acted on will prevent the New Event notification from displaying for event information you’ve already seen but haven’t deleted.
Forwarding Event Information. You may decide that rather than acting on event occurrence yourself, you may want someone else to review the information and act on it. Using the Event Manager Detail screen, you can enter comments about the occurrence of the event and then forward a copy of the information to one or more other BPM mailboxes, with your comments attached.

Forward to Mailbox ID Window.
The Forward to Mailbox ID window appears when you press the Forward-to User key (F19). It allows you to enter the BPM mailbox ID of the user to whom you want to forward event occurrence information.

To forward the event notification information to another user, enter X in the Action Code field corresponding to the information to be forwarded and then press the Forward-to User key (F19) to display the Forward to Mailbox ID window. Enter the BPM mailbox ID to which you want to forward the information and press Enter. The Forward to Mailbox ID window will remain on the screen so you can enter another mailbox ID, if desired. When you are finished, press the Exit key (F3) to return to the Event Manager Detail screen. The original event occurrence information will remain in your mailbox unless you delete it.
