This screen allows you to set up allocation specification records. Allocation specification records define the calculations performed on the accumulated allocation totals and the actual account/centers where the distribution journal entries will be recorded.
Fields that appear on the screen are described below. For an explanation of how to set up calculations, type an 'X' in the highlighted field below and press F11 Extended Text (only available from screen-level help).
Calculation Setup Explanation
ALLOCATION/SUBALLOCATION
Allocation is required. Suballocation is optional. Enter the number of the allocation (and suballocation) for which you will define distribution specifications. The allocation must have been defined with an allocation definition record. This field defaults to the allocation number entered on the Allocation Definition screen.
RECORD NUMBER
Required. Enter a number to sequence these allocation specifications within the allocation. This number allows you to define multiple sets of calculations to be performed during a single allocation. The record number must be between 500 and 599.
ALLOCATION DESCRIPTION
Optional. Enter any description to identify this set of allocation specifications.
STEP 1, STEP 2, STEP 3
These lines allow you to specify up to three calculations to be performed on accumulated allocation and other totals. For each step, you must enter an operand and a factor (an account, an accumulated total, or a constant). The result of each calculation is stored as total 5, which is used as a factor in subsequent steps and as the value allocated to the accounts specified on this screen.
OPERATION CODE
Required. Enter the operation code to be used in the calculation. Valid values are:
Z - Initialize total 5 to zero and add the specified factor;
A - Add the specified factor to total 5;
S - Subtract the specified factor from total 5;
M - Multiply total 5 by the specified factor;
D - Divide total 5 by the specified factor.
DATA TYPE
Required if you enter a specific account/center as a factor. Enter the type of data contained in the account/ center you wish to specify as a factor. Valid values are:
F - Financial
S - Statistical
PERIOD
Required if you enter a specific account/center as a factor. Enter a fiscal period code to specify the period corresponding to the account/center value you wish to use as a factor. Valid values are:
CP - Current period;
LP - Last period (not valid for budget amount types);
QD - Quarter-to-date (quarter-to-date change for balance sheet accounts);
YD - Year-to-date (year-to-date change for balance sheet accounts).
COMPANY/LOCATION
Required if you enter a specific account/center as a factor. Enter the company/location defined for the account/center you wish to use as a factor. The company/ location combination must exist on Reference File category 002.
ACCOUNT CENTER
Optional. To use a specific account/center value as a factor in this calculation, enter the account and center numbers. If an account/center is entered, the Data Type, Amount Type, Period, Company, and Location fields must entered; the Total and Constant fields must be blank.
TOTAL
Optional. To use an accumulated allocation total as a factor in this calculation, enter the total number. Valid values are 1, 2, 3, and 4; these numbers refer to the accumulation totals set up on the Allocation Accumulation screen. If this field is entered, all other fields on this line (except Operation Code) must be blank.
CONSTANT
Optional. To use a constant value as a factor in this calculation, enter that value. The value entered must be less than or equal to 999.99. If this field is entered, all other fields on this line (except Operation Code) must be blank.
ALLOCATION PERCENTAGE
To allocate based on a fixed percent of total 5 (after steps 1, 2, and 3 have been performed), enter that percent. Note that you must enter at least one calculation step to initialize total 5 (for example, to zero-out and add total 1 to total 5).
CHARGE, CREDIT
These two lines allow you to specify the accounts affected by the allocation and any reference information to be associated with the generated transactions. The charge account receives the distribution amount. The credit account also receives this amount, but with the opposite sign (positive or negative). Both a charge and credit account must be entered when actual amounts are allocated to financial accounts. The other allocations do not require entry of both the charge and credit account.
COMPANY/LOCATION
Required for each line entered. Enter the company and location where the distribution journal entry will be made. If this company/location differs from the allocation company/location (from the allocation definition screen), intercompany transactions will be generated.
ACCOUNT CENTER
Required for each line entered. Enter the account/center affected by the distribution.
REF 1/REF 2
Optional. Enter any reference information to be recorded with this transaction.
COMMAND KEYS
F2 - Display a window where a fast path option or mnemonic can be entered. Fast path allows the next menu selection to be made directly from this screen. When the window is displayed, pressing F3-Exit will remove it.
F3 - Exit the program and return to the menu.
F4 - Display a list of values for the field where the cursor is positioned. If you select one of the items from the list, it will be returned to the application screen.
F5 - Display the preceding record for this allocation. If the first record for the allocation is currently displayed, pressing F5 displays the Allocation Definition screen for the previous allocation. (Displayed in review mode only).
F6 - Display the following record for this allocation. If the last record for the allocation is currently displayed, pressing F6 displays the Allocation Definition screen for the next allocation. (Displayed in review mode only.)
F7 - Display a blank Allocation Specification Definition screen in enter mode.
F8 - Display a blank Allocation Specification Accumulation screen. (This key is displayed in review mode only).
F9 - Display the Allocation Specification Distribution in enter mode. (This command is displayed in review mode only).
F13 - Delete all records for the currently displayed allocation. (Displayed in review mode only.)
F14 - Delete the currently displayed record. (Displayed in review mode only).
F17 - Display the Allocation Specification Definition screen for the previous allocation. Allocations are sequenced by allocation number. (Displayed in review mode only).
F18 - Display the allocation Specification Definition screen for the following allocation. Allocations are sequenced by allocation number. (Displayed in review mode only.)
F19 - Display the Allocation Specification File Mass Maintenance screen.
F20 - Display the Search screen, which allows you to select an allocation definition or accumulation record that has already been defined.
F24 - Display additional command keys available from this screen.
