Actual Amounts

 

Each record on the Financial Account/Center Master File and the Statistical Account/Center Master File contains 13 actual amount fields.  For income statement accounts, the actual amount fields contain the net debit or credit total of all transactions for each accounting period.  For balance sheet accounts, the actual amount fields contain the debit or credit account balance at the end of each period or the account balance for the current period as of the last posting.

The amount fields in the Financial and Statistical Account/Center Master Files correspond to the user's fiscal year and the number of accounting periods in the year.  The amount for accounting period 1 always appears in the first field.  For example, if the user is operating on a calendar year basis, the period 1 field contains data for January; if the user is operating on a fiscal year beginning  August 1, the period 1 field contains data for August.

Only 12 actual amount fields are used by locations operating on a 12-period fiscal year.  All 13 fields are used by locations operating on a 13-period year.  The number of fiscal periods in each location's accounting year is controlled by the Reference File Date and Period (category 106) record for that location.
