Draft Management Inquiry

 

The Drafts Management Inquiry conversation provides access to draft information.  You can display detail information for drafts for a customer or drafts for a specific company/location. 

Display Transaction Selection Screen

1.   Enter the Draft Inquiry option on the Draft Management Menu.  This will display the Selection screen (DM800S01).

Inquire Into Customer Draft Information

2.   To inquire into drafts for a specific company/location, enter the company and location on the Selection screen and press ENTER.  The data entered on the Selection screen is displayed automatically on all the remaining inquiry screens.

If only a company and location is entered, the Draft Inquiry List screen (DM800S02) is displayed.  The Draft List screen displays all drafts for a specific company and location.  To inquire about a draft from this list, enter an X next to the specific draft and then press the ENTER key to display the Draft Inquiry Detail screen (DM800S03).

The Draft List screen may contain limited drafts depending on the information that is selected on the Transaction Selection screen.

·     If a customer name is entered, only drafts related to this customer will be displayed.  Remittance dates, remittance number, and bank code must be blank. 

·     If a draft number is entered, due dates, draft status, currency code, remittance dates, remittance number, and bank code must be blank.

·     If bank code is entered, customer, draft number, remittance date, and remittance number must be blank.  If from and through due dates are entered, only drafts falling between these two dates will be displayed.

·     If a status code is entered, only drafts with that status will be displayed.  If currency code is entered, only drafts with the same currency code will be displayed.

·     If from and to remittance dates are entered, only drafts that fall within the range of dates will be displayed.  If from and to remittance dates are entered, customer, draft number, remittance number, and bank code must be blank.

·      If remittance number is entered, all drafts that have the same remittance number will be displayed.  Customer, draft number, due date, draft status, currency code, remittance dates, and bank code must be blank.

The Draft List screen is initially displayed in the one-line format.  To display data on the second line, press F6-Fold/Truncate.  To return to the one-line format, press F6 again.

The Draft List screen can display 12 one-line drafts or 6 two-line drafts.  The Rollup key can be used to display another screen of drafts if they exist.  The roll keys can be used to page forward (Rollup) and backward (Rolldown) through the drafts.

If you do not select a draft from the Draft List screen, you can either press F3-Exit to return to the Draft Management Menu or F10-Selection to return to the Draft Inquiry Selection screen.

Otherwise, if you select a draft, the Draft Inquiry Detail screen will be displayed.  This screen is also displayed if a draft number is entered on the Selection screen.  The Draft Inquiry Detail screen displays detailed information related to the selected draft.

On the Draft Inquiry Detail screen, no data can be entered or changed.  All fields are display only.  Information relating to the draft such as the customer, draft number, dates, payment amount, draft status, and currency is displayed.

If you select a draft with a status of accepted, unpaid, or claimed back, remittance information is also displayed.  An additional command key is also available to allow you to display the Draft Inquiry Open Item Application screen (DM800S04).

To return to the Draft List screen to view the list of drafts, press the ENTER key.  To return to the Draft Inquiry Selection screen, press F10-Selection.  To return to the Draft Management Menu, press F3-Exit.  To display the Draft Inquiry Open Item Application screen, press F14-Open Item Application.

The Draft Inquiry Open Item Application screen lists the open items which have been paid by the draft.  The fields are display only and cannot be entered or changed.  Information relating to the open item such as document type, document number/document date, installment number, amount, and exchange rate is displayed.

The Draft Inquiry Open Item screen is initially displayed in the one-line format.  To display data on the second line, press F6-Fold/Truncate.  To return to the one-line format, press F6 again.

The Draft Inquiry Open Item screen can display 8 one-line open items or 4 two-line open items.  The Rollup key can be used to display another screen of open items if they exist.  The roll keys can be used to page forward (Rollup) and backward (Rolldown) through the open items.

Press F3-Exit to return to the Draft Management Menu or F10-Selection to return to the Draft Inquiry Selection screen.
